Description of work/tasks

Administration activities:

  • Member administration and keeping the database up-to-date (CRM+/cobra);
  • Supporting the club’s cashier with invoice documentation, accounting and fund collection;
  • Optimization of internal processes and use of budget;

Documentation activities:

  • Reporting regularly (once a quarter) to the board;
  • Documenting the decisions and content of meetings;
  • Drafting of FAQs and rules and regulations (for the association, for data protection, for cooperation);
  • Creation of instructions for software used by other FH Upper Austria employees and by club members;
  • Creation of statistical evaluations (e.g. development of the club);

Event organisation activities:

  • Planning and organisation of various event formats (excursions, company visits, lectures, workshops);

Communication activities:

  • Contact person for agencies and service providers;
  • Responsible for the social media profiles of the Alumni Club FH OÖ (Facebook, XING, LinkedIn);
  • Designing graphics, writing information documents and advertising material (posters, brochures etc.) in Photoshop and InDesign;
  • Designing presentations and workshops for various target groups (club and FH Upper Austria internal);
  • Content production for and content management in the club’s digital membership card;
  • Representing the Alumni Club FH OÖ (internal an in public);
  • Writing news articles for the website (Typo3), social media postings and newsletters (Mailworx);
  • Writing articles for publications of the FH Upper Austria (e.g. “Diversity”/”Working Worlds 2030”);

Cooperation and acquisition activities:

  • Negotiating deals with partner companies to increase the club’s attractiveness;
  • Fostering interdepartmental networking activities at the University of Applied Sciences Upper Austria (event management, marketing, HR, internationalisation, Centre of Lifelong Learning, quality management, career centre);
  • Designing workshops/formation of working groups to detect potentials and create synergies;
  • Cooperation with multipliers to acquire new members;
  • Conception and evaluation of internal surveys (mentimeters) within the club and the FH Upper Austria;
  • Participating in interdepartmental projects (career portal, landing page design, web shop conception);
  • Planning and realizing own projects (website relaunch, member area upgrade, database adaptations).
